I Would Fix the Definition Before Adding Another Dashboard

A new dashboard can hide an old definition

When a report is confusing, my first impulse would be to add another view. I would pause and ask what the current status actually means. Does “followed up” mean a draft exists, a person approved it, a message was sent, or a customer responded? If several teams use the same label differently, another chart will only make the disagreement more polished.

I would choose a small set of records and write the event definition next to each state. Keep source event, owner, last customer-facing event, next action, due time, and hold reason separate. Mark missing and unknown explicitly. This makes the reporting gap visible before anyone changes a tool.

Use the smallest useful repair

The repair might be renaming a status, adding a confirmed-response state, recording the source event, or creating an exception queue for unclear ownership. I would test one change on a bounded sample and ask whether another person can reach the same conclusion from the evidence. If not, I would fix the definition again before adding automation.

This does not mean dashboards are bad or that a platform change is never necessary. It means a purchase decision should follow a known gap: missing data, weak routing, unclear ownership, insufficient retention, or an interface that prevents a needed review. The tool should be judged against the defined work.

Let the report support a decision

A useful report should tell the owner what is present, what is missing, what is unknown, and which next action is safe to consider. It should also make clear what it cannot establish. A clean number is valuable only when its definition and source event are still available.
