If the question is whether records have an owner and a next action, I probably do not need full names, phone numbers, message bodies, payment fields, or call recordings.

I would replace direct identifiers with stable internal labels, remove secrets and payment information, and keep only the timestamps and categories needed to reconstruct the handoff. I would also write down what was removed. A redacted sample is more useful when another reviewer understands its limits.

Redaction is not the same as anonymization

Removing a name does not automatically remove identity risk. A rare job title, exact event time, location, or distinctive message can still point to a person. I would review combinations of fields, not just obvious identifiers. If the sample is too specific, I would reduce it further or use synthetic examples for the first discussion.

The goal is not to make the evidence meaningless. It is to keep enough structure to answer the workflow question while reducing unnecessary exposure. When a real record is required, I would use the smallest approved access route and confirm who can view it.

Make the next action explicit

After the redacted review, I would separate findings from decisions. A finding might be that a callback event has no owner. A decision might be to add an owner field and test it on a bounded sample. I would record what the sample cannot establish and send uncertain cases to a person rather than forcing a confident label.
