What Should I Do When an AI Cleanup Review Flags a High-Risk Record?

Treat the flag as a question

An AI cleanup flag is a reason to inspect a record, not a final decision about the record. It may indicate a duplicate, a missing field, an unusual value, a sensitive item, or a mismatch with the rule being applied. Start by keeping the original source value and writing down exactly what triggered the flag.

Compare the flagged record with the rule, the source event, and nearby records that are known to be ordinary. A warning is easier to understand when the reviewer can see the field, the expected pattern, the evidence available, and the limit of the comparison. Do not infer a customer intent, fraud claim, or business outcome from a formatting or routing warning alone.

Use a small decision table

Give the reviewer a few honest outcomes: confirmed issue, not an issue, needs more evidence, or outside the current scope. Record the reason and the next action separately. “Needs more evidence” should name the missing evidence, such as a source timestamp or an owner decision, rather than becoming a permanent unassigned queue.

The reviewer should be able to restore the source value or reverse the proposed change. If a flag touches payment data, health information, employment records, legal matters, or private customer history, stop the ordinary cleanup flow and use the appropriate approved review process.

Close the loop carefully

After a bounded sample is reviewed, update the rule only if the examples support a clearer definition. Test the change on another sample that includes edge cases. Keep the review result distinct from a customer-facing action; clearing a flag does not mean a reply was sent or a customer was contacted.
