What Should I Check Before Adding AI Replies to a Service Inbox?

The safest first question is not "Which AI tool?"

It is "What must never be guessed?" A service inbox may contain service area, timing, price, availability, emergency language, warranty language, and personal details. If an AI reply fills a gap with a confident sentence, the business may create a promise no one intended to make.

Before adding AI replies, write down the hold conditions. A draft should stop for missing service area, unclear scope, contradictory customer context, legal or medical questions, emergency situations, payment disputes, and any request that needs a person with authority. The exact list will differ by business, but the existence of a list should not.

Review the handoff around the draft

The draft itself is only one part of the workflow. Who sees it? Where is the original message? What tells the owner that review is required? Is the final send recorded separately from the draft? Can a person reject the wording without deleting the context?

Good controls are simple: a visible review state, a named owner, a reason for the hold, and a clear final-send boundary. Avoid treating a generated draft as a completed reply. Avoid measuring success only by how fast a draft appears.

Test with redacted examples

Use a small set of representative, redacted messages. Include an ordinary request, an incomplete request, a wrong-service request, a do-not-contact message, and a case where the business needs clarification. Review what the system refuses to guess as carefully as what it writes.
