A source of truth customer data decision should answer which system owns which field and why. The form may own the original request, the scheduling tool may own appointment status, and a human approval record may own whether a message is ready to send. One tool does not need to control every field.
Write the authority rule beside the field
For each important field, record the source, authority rule, update condition, and reviewer for conflicts. If two systems disagree, preserve both values until the rule is applied. This avoids a silent overwrite that makes a clean table while erasing the reason the records differed.
The rule should be easy to explain to the person who owns the handoff. If nobody can say why a field wins, treat it as an unresolved design decision rather than a technical detail that automation should guess.
Future systems will show provenance
Connected workflows will need to show where a value came from, when it changed, and which rule accepted it. Provenance is useful when a customer asks what happened, when a duplicate is reviewed, or when an automated follow-up pauses because the source is unclear.
