I changed the review labels to appointment completed, customer declined, outside service area, duplicate, no response after defined attempts, and unresolved. The exact labels can vary by business, but each one needs a short definition and evidence that a person can check.

For unresolved records, I recorded the last event, owner, missing question, and next review date. I did not reopen every old record automatically. The point was to make the uncertain cases visible enough for a deliberate decision rather than create another unowned queue.

The open count increased. That was uncomfortable, but the owner could now see which records needed a call, which needed a service-area check, and which had actually reached a defined outcome. A smaller closed column was less important than a status that explained what happened.
