I Would Not Rewrite a Follow-Up Template Until I Could Trace Its Input

When a follow-up template produces awkward or risky messages, I would resist rewriting it immediately. First I would trace the input that created the draft. A template can be perfectly readable and still be wrong because the workflow supplied the wrong event, an old status or incomplete customer context.

## The input trail I would inspect

I would compare the source event, the CRM row, the last customer-facing event, the approved reply and the rule that selected the template. Those records answer different questions. A form submission is not the same as an inbound reply. A status change is not the same as a sent message. An internal note is not permission to contact someone.

I would also look for category mistakes: a duplicate treated as a new inquiry, a wrong number treated as silence, or a service-area mismatch treated as a normal opportunity. Editing the wording cannot repair those classifications.

## I would test a small range of cases

I would select 10 to 25 redacted records and include a ready case, a hold case, a possible duplicate, a do-not-contact case and a missing-context case. I would remove passwords, payment details, full inbox exports, recordings and private customer history.

For each record, I would write down what the input supports, what the template assumes and what a human must verify. If the assumption is not supported, I would change the routing or add a stop condition before changing the sentence.

That distinction protects the customer and the operator. A more convincing message can increase the cost of a wrong assumption. A visible Hold reason gives the owner a chance to correct the record before the draft becomes customer contact.

## What I would want from the review tool
